How I organise my life with Notion
I have been running my life in Notion for almost a year. This recording is 8 December 2021. The command center is the top of the graph. Daily tracking is where I actually sit.
The system holds personal work, the businesses, the goals, the bucket list, and the notes. It is all related. I blur the private rows.
Daily tracking is the page I live on
Make.com — still Integromat when I built this — creates a new daily row every morning through the official Notion integration. Today's page is already there when I sit down. Notes, achievements, improvements, and a relation to the week so Friday's review can see each day.
Habits sit on the same page. Daily steps come from the Apple Watch through
Apple Health. A smart scale writes weight if I stand on it.
Habits so small there is no excuse
Ten minutes of sun on the balcony, looking at the sun. One burpee — the floor is the point. Two pages of any book from the library next door. Once I am down for the push-up I do ten or fifteen. Once I sit down I often read 30 or 50 pages. The minimum is what I can do on a bad day.
I do not shoot every day. Several times a week I go to the range. Spanish is 15 minutes. Ten thousand steps. Mindset and affirmations live in the habit: a short video, quotes I add to, and a villain.
The villain is from a group I am in. You are the hero of the film. The villain is you, if you did everything you wish you did: no junk food, five tasks a day without a fight, extra effort at the gym, no emotional decisions around sex. Business is easier to keep logical. Friends and family are not.
Drag a finished habit across. The habits database shows a progress percentage. New ones start low. Nothing is there for decoration. Each habit points at a higher goal.
Five action items. Under 15 minutes, same day
I aim for five tasks a day. Three is fine. Priority is 1–5. Anything that is worth doing and takes under 15 minutes is a quick task. I do it that day.
Due date is the day I must finish it. Owner is whoever it is assigned to. I run personal and business projects in the same table: the apartment renovation, Operation London while I was there.

The spine is August Bradley's PPV: pillars, pipelines, vaults. I watched his series and wired the databases myself. I have added a lot. I still do not sell this, and I would not buy his copy either. Building it is how you learn why each relation exists. Then you can change it.
Knowledge vaults and a reward on the task you keep pushing
A marketing task can attach the Facebook Ads vault. One click is every note I have from YouTube, courses, books, people I have worked with. SEO is the same.
Tasks I keep putting off get a reward. The rewards database is a bucket list of things I do not need: a wall clock at about €200, tequila at about £130, trips, tailor-made suits, One&Only Montenegro from an Instagram save. Small rewards sit under £100. The large one is a McLaren 720S at about £180,000, tied to a project or a life goal — a million-dollar year.
I never pay 1:1. If the task is worth £200 I can attach the £100 bottle. Diet works the same: five clean days, then a specific cheat meal, not "a cheat meal."

A vertical monitor on the right stays on today. Notes, a book, a blog, a reward I drag in, a SaaS tool into resources tagged to a topic. The next Facebook Ads project already has the tools I saved last time.
The system is empty at the start. I dumped iPhone notes and reminders in. A year of use is what makes it valuable.
Slapdash is Command-J. Action item database, "create YouTube video", due today, status active. I do not open Notion. Same for a one-line note.
YouTube is a habit three times a week. That row stays on the second screen.
Weekly review: days roll up, inbox to zero
Each day is related to the week, the same way Airtable rolls a linked record. I pull the habits I ticked. I set the date range — this week is the 5th to the 12th — and the completed tasks appear.
Highs. Lows, struggles, stresses. If a struggle needs a new task or habit I add it from the page. What I learned. What the villain would have done differently. A quote I keep in the system: eliminate everything that does not serve the goal.
Inbox to zero. Email. WhatsApp — I ignore it during the day. iOS work mode, by location and time, blocks almost every notification. A loud contact can get through. I still prefer a text. I compare it to the task I am on. If it wins, it goes into Notion with a priority. Friends can read that as rude. At the end of the week I go through every message so nothing important sat there.
Slack to zero the same way. Most things can wait a few days.
Waiting is a status: I have done my part. Email, approval, a document. I review waiting so nothing dies there.
Projects: idea, next action, active, someday, archive. I do not delete. The attachments stay.
One weekly job I get a lot from: empty the Mac Downloads folder. Everything goes into a project folder on disk or it is deleted. Downloads is empty when I am done.
Notes get tagged to knowledge topics by hand. Then I spend about an hour on the weekend in Photos — not selfies, screenshots. Articles, Instagram, quotes, book pages, YouTube. I have not finished the backlog in a year. A quote like "complexity is the enemy of execution" lived in Photos until I put it on the dashboard I see every day.
A Shortcuts workflow reads Apple Notes against preset categories and writes into Notion through the API and Integromat. Apartment inspiration. A note. A book I want. Drag the screenshot, delete it from the phone.
Geofence the gym. Tick the habit from the phone
Weekly, monthly, quarterly, and yearly pages are created automatically now. I used to make them by hand.
Shortcuts geofencing: enter the radius around the gym and an API call marks the habit. Same for the range. Charge the watch is still manual.
Integromat also pushes today's list to the phone: Spanish, 40 minutes of exercise, mindset, 10,000 steps. Tap one and it moves. AGS is after-gym shower. Ten thousand steps can also close if Health already has the steps or a walking workout.
The more of the maintenance that is automatic, the more accurate the system is.
Monthly: staff, subscriptions, and a weekend I take
I review the month's tasks, accomplishments, disappointments. Staff review if you have even one assistant: cost, did they save time or make money, what they actually did, is it worth it.
Breakthroughs. Discoveries. How do we make more money. What excites me. What is in the way — remove it. Walk the life pillars. Walk the habits and kill the ones that no longer serve an outcome. The system has to move when the goals move. The big goals do not change that often. This pass is garden-keeping.
Subscription review: what I pay, start date, renew date, cancel or keep. Then I go through the bank for unexpected charges.
Reset is required, not a goal. A spa day, a weekend away. If I cannot set a weekend aside I have a problem. It is also why I finish the monthly page: there is a reward at the end.
Goal outcomes are the three-month layer. Daily action items hang off them. A project with no goal is time I should not be spending. Monthly is shorter than weekly. Weekly is execution. Monthly is whether the machine is still pointed at the right thing.
Quarters, then the yearly alignment page
Quarterly is short: what is working, what is not, improvement ideas, are we on track, which quarter owns which outcome. I started this system for startup projects. It is now a life OS. Workouts live here. More of it is personal than business now.
The chain is the point. Daily habits and tasks → key results → three-month outcomes → this year → five- and ten-year life goals. Stay on the daily list and the quarter should close. I have burned out enough times that "recharge" is written into the reviews on purpose.
Someday/maybe is a park, not a grave. I ask if I am ready to make it active.
Yearly alignment is the long one. Percentage of days I hit the goals — still zeros here because I have not wired it; I will do that at year end, in about 20 days. The list on the page: keto, 8 a.m., vitamins, no masturbation, daily sun.
The yearly questions stay private. You have to be honest or you optimize the wrong thing. What I did well. What I did not. Who I spent the most time with, and who the problems came from. You are a mix of the five people around you. At 15 or 16 I sat with people who smoked weed all day. I became a drug addict. That is not all on them. It is what hanging around that room does.
Ant Middleton's First Man In — the SAS after-action: what went wrong, write it down, keep a library. That is the vault. The mind will not hold the year.
The year also designs the next twelve months: new experiences, the one thing, what stands in the way. Then I review life goals, habits, key results, project priority, action items. Bucket-list rewards get scheduled against projects.
A thought in the shower goes on the Watch with dictation. A shortcut on the Watch creates a task. That is how I keep CPU free. I am not trying to remember the list.
A project starts as a playbook
New project: priority, knowledge topic, goal (the progress bar moves when tasks complete), quarter, habits, reward. I do not jump to build. Notes first. Competitors.
Startup questions I keep on the page: purpose, how it is different, is anything already there, obstacles, why is nobody doing this, is it actually a good idea, am I open to changing it, how do I get customers, hours per week, can I automate 100% — I am not taking time-consuming businesses — exit, time frames, every task written down, what success is (money, learning, a specific group of people), yearly revenue potential, a list of influencers, YouTube channels, and blogs in the space. Hundreds if I can. Subscribe and engage for months before I ask them for anything.
Then the tasks. Logo, embeds. I have Google Search Console on one project. Traffic was up 45,000%. Airtable interfaces are the high-level view. I thought about a video wall of them.
Completed / remaining / percent scheduled. 100% scheduled means I have dates. YouTube at 4% means I am behind on content.
Alignment zone, a go-bag, and the people file
Milestones: passive income. I already have about $1,000–$2,000. Tick what is done on the monthly pass.
Pillars I wrote down: healthy and happy, confident, complete freedom, $10 million net worth, a mortgage-free renovated apartment. The apartment is a floor. Cheap country, a few hundred dollars if I have to pull back. I can take larger risks.
Backup is not theatre. Cash I can reach. A bag with two days of warm clothes. A Ledger with about $20,000 — it looks like a USB stick at a border. Two weeks of bottled water. A solar power bank large enough that they claim it can move an EV for about 20 minutes.
Huel and dried pasta that stores for years. A proper gas mask, not a cloth one. Eastern Europe, tension with Russia. A few thousand dollars of prep.
Playbooks I took from Tim Ferriss: worst case, how to prevent it, how to prepare, benefits of attempting anyway, cost of inaction at six months, one year, five years.
People is a database I will not open on camera. I did an operational-security course with a former special-ops instructor, under NDA. Barcelona house invasions for crypto. Eight modules, including an hour of foot and car surveillance. Most people do not notice. He also said keep a file on the people around you in business. A book said the same: alignment does not last. I have already been through that with a co-founder. Log the mistakes, especially anything illegal, keep evidence, keep a backup through the API. You hope you never use it. If someone comes at you, you have leverage. I will not unpack the rest.
Pipelines exist for heavy work: YouTube ideas / active / backlog is one. An addiction calendar is another. Neither is finished.
God mode used to be the execution surface. Today's focus, waiting, low priority, no project, freelancer, a not-to-do list, a calendar I can drag onto. I barely use it. Daily tracking took the job. Strategy here is choosing what not to do. Guy Ritchie on a gentleman: take the choppy water and find a way through it elegantly. If you are not moving, you are behind.
Five databases. I will not sell you the template
Notes from the iPhone land in the knowledge vault. Media vault is books to buy, videos, blogs. On the bookshelf: 219. About 500 still to buy. Getting Real is the book I keep coming back to. Weekly I file those notes into subjects: operational security, personal finance, Spanish, Russian, investing, marketing funnels. Hot topics and cold topics. Resources is software and code I might use later.
Projects. Daily tracking. Action items. Knowledge topics. Notes. They talk to each other. That is the system.
I still use Airtable every day for large tables. Notion is the dashboard. Every database here can export as CSV if I ever want to analyse it. I do not.
I bought Final Cut Pro for the first time to blur the personal rows. I will not torrent it onto an M1 Max I now treat more carefully because of crypto.
Do not buy this from me. Pause other people's systems, take what you like, change the rest. If you need a session, book it.

hey guys it's nathan and today i wanted to walk you through my entire notion system. so i've mentioned this like a few times before in different videos and i have made like a video on it before. however like it's evolved quite a lot since since i previously made that video and it's actually approaching a year since i first started using the system and it's it's great. it is such a fantastic system and i completely believe that everyone should use something like this in their in their life whether it's a complete copy of this or you're just using some other task management system to like organize your your life in this particular way i just i really believe that anyone who uses a system like this has such an advantage in life compared to compared to your average person and so i will walk through like in time it's quite large so i think this will be a long video i'll walk through this entire system in in one video.
if i like edit anything out. obviously this is this is like a personal system basically of my life of literally everything in my life and what i put into my what i spend my days doing the things i work on myself the businesses i work on uh there's like my thinking process put in there my aspirations of all my goals my bucket list and so on so and it's all interconnected together so just one thing to know is i may like blur some things out if they're private and personal.
but anyway let's start off here so this is the command center this is the highest level area of like my database and that's i guess it's not from the top so daily focus uh this is where i'll spend like most of my time so. daily tracking is a it's a database which is it creates a new row every single day it's done automatically for integromat. there's an official notion app on there so you can see today on december 8th 2021 and this would have been made automatically this morning then i've my notes field achievements improvement and the week that it's related to so that when i do a weekly review i can check the activity of each individual day.
and that's something i'll go through every single week then i've got my habits database which is linked in here and i also have like my daily steps disappointments. daily steps is taken automatically from my apple watch it's sent over via api through the apple health app and sent over into Notion and i also have like a smart scale as well which will pull my. daily weight as well and that will be ended up here assuming i weigh myself every day under the habits section you like these are basically everything these are things i want to complete every single day so for example in the morning i want to stand out on my balcony and get 10 minutes of sun looking directly into the sun.
like and i'll also keep them to be quite small so for example like one burpee is put down here really i don't want to do just one perfect that's like the minimum and basically once i will actually go and do something i will. once you start it you've sort of built up that momentum already like if you tell yourself to do one push-up generally like by the time you're down on the ground and actually doing a push-up you'll do whatever 10-15 however many you can it's just that we're getting started part that's difficult so i make i make all my habits very very sort of minimal and and easy to do so that in my mind there's no even if i'm not feeling good or i'm not in the mood to do it there's sort of like no excuse.
and for example like reading two pages as well rather than telling myself i have to like read a book every single day i'll just tell myself read two pages of any book i've got a library like next door of books and i'll read two pages of anything but that's at a minimum and generally by the time i've actually sat down and started reading i will do however many 30 50 sometimes more pages basically until something else comes up and then i've got other things like shooting like every day i'm not every day sorry but multiple times per week i'm going down the the gun range and playing around with shooting some handguns then we've also got like mindset and affirmations like every day i will.
like if we come inside this database. there's like a video here and these are basically the things i would like to read out and to myself so like my villain is basically a it's. it's like a psychological life this is from a this is from a group i'm part of actually where you you look at yourself as like the superhero in your life like in your your movie and that makes it much easier for you to deal with any like problems that you may have in life because the superhero always has some type of dilemma in the story right and then what you need to do is craft in your mind your villain and the villain is exactly the same as you however they do everything that you wish you did so doesn't eat junk food completes five tasks per day easily.
always gets the extra effort wrap at the gym does not act emotionally towards sex situations which is something i always think i try and be quite. logical purely purely thinking with logic which is difficult to do all the time in business it's generally much easier but in when things are involved in like friends and family and stuff it's very hard not to think with. not to let emotions get involved and then i just have like some some other quotes and stuff things that i find and i'll constantly add to this by the way as well that's the thing about this system is it's not like a.
build it once and then you're done this is a constant evolution like that i'm updating my entire notion system daily. so that would be like an example of like one of the habits and like if you go into them or like walk 10 000 steps for example i need to complete spanish and i need to do 15 minutes of spanish and when it's done i'll just drag it over here and it will be added up here so we know that it's been completed. and just to like click on the habits for one point here like you can see all of my uh actual habits and it's got like a.
it will have a percentage amount let me just get this bigger yeah progress so these are all like the different things so progress and it will show me like the percentage that i'm done with this so you can see on some of them like i've completed them others are more recent i've set up and they're sort of like in progress. so it's just like a little gamification system basically. so they're my habits and my routines which i will perform every single day and they'll be linked to like a higher level goal of mine let's say and so nothing in this system is like done for the sake of it it's all linked towards pushing forward towards my overall goals and life aspirations.
this is my action item database action items it's quite self-explanatory basically means items that you need to action right things that you need to and to do something with so i will try and complete about five tasks per day if they're under 15 minutes. i will classify them as a quick task which means it should be it should be done very very quickly any task that is can be completed in less than 15 minutes i will mark it as a quick task and i will do it that day like for me there's no point in putting it off if it's worth doing and it only takes 15 minutes just take it off the table straight away rather than putting it off for another time.
so the engineering system like again it's got the name the due date it's the day that i must complete it on and this system by the way sorry this part i should say is taken directly from. august bradley who has like a. a video series on how to make this on his like ppv system and pretty much like the whole structure actually was originally again i'll give complete credit to him it was based off of his system so. he's like encouraging people to do it so i was just watching his videos and i built it myself and integrated the various different databases together by by understanding what he was doing.
so like the foundation of the system is still built off of that but i've now added like so many of like my own elements into the system as well and really like personalized it which is what is so great about. about notions and it's also why i recommend you if you do do a system like this don't ask me to buy this from me or on like august right new it's like selling it you're trying to make a business from it so i don't need to put his business down but i would personally suggest that you build this yourself.
not for any purpose of saving money because it will i think will take you a little while to actually build this out but solely for the purpose is if you understand how everything correlates and and integrates with each other. and just why each particular component does what it does and it means that you can customize it like as much as you want which is in my opinion the best thing about this system is any idea that you have you can completely customize and tailor your system within the limits of what notion allows and but notion is really really quite flexible so.
now what i also do is i have my. yeah sorry it's a lesson there's task priorities like one to five. one obviously being the most important and each day i will go through go through five tasks if i don't complete five tasks it's fine if i only get three done that this is really okay but i will aim to complete five tasks per day and then i've got like my individual projects so i'll probably have to blur some of these out but each of these tasks will be linked to a specific project that i have working on so for example even like my apartment renovation i actually manage through this through notion as well so i manage both personal and business projects like you can see here operation london they were a series of tasks that i wanted to complete whilst i was in london.
and you can also share this with people so you can assign an owner to a specific task i also have like work called knowledge topics on various different things so let's say that we've got a task to do with marketing i can attach here like my facebook ads knowledge topic and if i click through on this this will take me through to all of the information that i have linked to facebook ads whatever i've collected over the years from youtube videos from courses from books from my own personal experience from.
people that i work with whatever it may be all of my notes are categorized into these different what are called knowledge vaults and i can just attach them to any task let's say i've got a task related to seo i can just click and add in. seo and it means that all of the information i've ever collected on that specific subject is just one click away so i can and then also like another sort of gamification thing that i've added in recently which whenever i have a whenever i have a task that i'm sort of pissing off let's say i know it's valuable but i'm i don't want to do it for whatever reason it's like not an enjoyable chance it could be any number of reasons anything i find that i keep pushing off i'll attach a reward to it so this is sort of like a it's a bucket list slash a list of non-essential things i want to buy let's call it like nice to have things so this can be anything from like a small reward.
to a big reward like here's like a wall clock that i wanted which is like 200 euros and here's like a fancy tequila which was like 130 pounds or something and these things i don't really need but things that i they're like nice to have things right so let's say for this 100 pound tequila i've got a i've got a task that i know will make me like 200 pounds if i do it. but i've been putting it off whatever reason i don't want to do it for whatever reason i can just go and attach whatever i have uh like whatever reward i want that is within that price range where i know i'm making profit on it and i'll just go and buy it for myself after so.
it's like and i i will never do it like a one-to-one ratio so like there's some really big rewards on here by the way i'm like a huge reward it's like a mclaren 720s which is like a 180 000 pound. maybe even a little bit more than that and supercar so that will be linked into different uh into actually completing the project or maybe like an overall life goal when i achieve this it could be making a million dollars in one year i will buy myself a mclaren 720s so it's just like always having like motivation to push you forward onto these things and the other thing i do is whenever i see for example something on like instagram or facebook or like this like a hotel that looks amazing and maybe we can look at this like one and only montenegro.
this will be something that i found on instagram like it will be like an unbelievable hotel so i will link it to a task that is going to make me in this case probably to a project actually to when i complete a project i will book myself a trip to the one and only montenegro. or it can be anything like that i've literally got loads in here i've got trips to greece yeah buying very luxury cars tailor-made suits like whatever interests you you and it's good to have like some small ones in there as well right some under 100 ones which i do have as well.
and so like i said whenever i'm struggling to get tasks done or i need a motivation to do something just whack a reward on it and it means that you'll always be productive and keep pushing the tasks out and there's no way for you to lose money uh or for it to be like a bad investment i mean this i guess it's obvious but only if you're cheating yourself you know how much value each task is like the equivalent to and how much value it's going to deliver to you so it won't it also it doesn't have to be a financial task like sometimes if i'm like need to stick to a diet or something i will link a reward to.
and the reward could also be something like a cheat meal for example right it can be if i eat clean for five days i'll allow myself to cheat me along on sunday right and it's good to be specific though so i wouldn't say a cheat meal i'd be very specific about what cheat meal is i want. and that way i just you're more likely to stick to it i find. and but yeah and only if you do like cheat the system of course the only person you're cheating is yourself so like this yeah like it just doesn't make any sense why you want to to treat yourself.
down here these like this is a window that i always have open as well i should say i've got a second monitor on the right hand side. which is it's like a vertical monitor and i always have the current day open so i can just always keep an eye on what i'm doing and this allows me to take down a note this allows me to add a new book or perhaps blog or something i should be later and so if i stumble across something interesting i would just put it straight in here and it means it doesn't give me time to get off of my my tasks when i procrastinate on what i'm doing if i see something that i like the rewards database we're just discussing enough i can just click here and drag in like whatever it is that i found online and it will automatically be added to the reward systems when i click here it will show up automatically as well resources this is for.
a specific like if i find it an interesting sas tool online or i've been a specific resource uh it could be anything it could be software it could be. designs for something like nice icons uh it could be a website for something it can literally and i would just add it in here and i will assign it to. a particular like topic so whatever it may be these are all topics i'm interested in and it means it's easy for me to categorize so when i if i take it as a facebook ads tour it means next time i am doing something related to facebook ads and i tag it in my action items that i'm doing a facebook project it will also bring in all of the tools that i know of that i've previously saved related to facebook ads so now maybe like you understand how it all i hope it's giving a bit of an explanation about how it all comes together and so it takes time to build up the system as well by the way like i said i've been using this for like a year now and the thing that i will i will say is the more time you use it the more and more valuable this system comes when it starts out there's.
it's at the very beginning right most of your system is going to be completely empty like i did bring in all of my old knowledge that was spread over from like my iphone notes and my reminders and various other places and that you're constantly adding to the system. and i hope that this will work as well i hope you can see this so this is a tool that i spoke about before called Slapdash. and you can actually just enter a notion database from here so with a shortcut let's say i need to make a new task.
i can just hit command j action item database add new task. create youtube video due date i can put as today and status we want to be active and this will add in here now automatically create youtube video so i don't even need to be a notion to do this right this is just a shortcut that works universally so i can be literally just browsing online like doing whatever i'm doing and whenever i have before i for example i can take down a note and i can actually do this in a shorter way but i'm just.
noticing ideas write down and you know remember this done that will be added in my notes now. so yeah that is the main leg it comes when it starts out there's. knowledge that was spread over on like various other places and but you're constantly adding to the system. and i hope that this will work as well i hope you can see this so this is a tool that i spoke about before called Slapdash. have before for example i can take down a note. and i can actually do this in a short way but i'm just.
noticing ideas write down you know remember this main like daily tracking so this is generally where i spend like most of my time for executing right these are the habits that i need to do today and these are the tasks i need to do today very simple like for example now youtube is a habit i've set myself to do three times per week making youtube videos so it's something that i'm working on now and this will always be visible on a monitor over here i'll get a picture or something just so you can see my actual setup and understand what i'm saying.
so that's the first piece of the system. which is like yeah next up we've got like the what's the best way to order it okay let's we started off with daily now i also have weekly tracking where i will review this every single week i check what i'm doing just to make sure that we're still like aligned with. with like my overall goals and we're not like steering off the path so automatically each day will be added into this week as you can see down here is the the.
their reference so this works a little bit like air table that i can actually pull information now that is linked on the daily tracking so we're going up to the different levels so we started off on daily tracking now they're linked into our weekly tracking and i can pull for example all of these habits that you see here this information is being pulled from the daily tracking automatically so i can see everything i've tipped off every day and once every week i will go through and perform like my reviews we can raise it five four three two one again like the only person you're cheating is gonna be yourself i'll change the dates here to be from the uh what week are we in i mean fifth to the 12th so this will bring in all of the tasks that i've completed within that time period so i can just remember the things i've done.
and then i can note down like what my noteworthy hires of the week what are my lows and struggles and stresses of the week and this is like really important it's can i add something in my daily task or implement some process a type of habit to improve this so what were the things i struggled with this week and how can i improve like what are the ideas i have to improve the next week and to make it very fast i can just click down here add a new task if i have any ideas and if i need a new habit i can click this disappears i'll fix that later i can add a new habit to make sure that whatever my things where i struggled with last week that i'm combating them the next week next thing is what i learned this week and like i'm massive i'm like learning and constantly expanding the things i know about so i think it's just really interesting like to write it down it gives me a feeling of being productive and then as we spoke about before like the villain crafting like the opposite of you the person who always does what they need to do.
what would they have done differently this week what would the perfect version of myself have done differently this week and i can note that down as well and then think how can i improve this which as i said it's a case of continuous optimization and improvement and then i also basically throughout this system i have a lot of different. notes that i saw quotations let's call them things that i've noted down that i like and here's one of them which is eliminating everything that doesn't tell your goal so it's basically saying to lean out the process get rid of any waste which applies to like my.
the tasks that i need to complete just to make sure that it's always something i'm thinking of so then every week as well. the goal will be to get the inbox down to zero go through any safe start emails anything that needs my attention go through messages and whatsapp like i'm notorious for just ignoring people like i i don't like to be just distracted. during the day so i will just ignore any whatsapp messages in fact like there's a great feature there actually. on the latest.
ios where you put in like work mode i'll probably make another video on this but i love it and it means you can do that when you're in a specific location during a specific time and i pretty much block everyone and every app. except for like the most important things from being able to to send me notifications because they're just micro distractions this is the last thing i want if i'm trying to concentrate i know the tasks i want to get done today and i know the habits i want to get done today and they are the things that align with my overall goals and push my life where i want them to be anything that is going on here is happening in the moment it's not planned it's not part of this system and therefore it is a distraction if it's something really really important there's like a loud context who can basically get hold of me if they absolutely have to generally i would like to ignore their calls though and they can just send me a text message just so i can see what it is and then i will simply in my mind look at what i'm working on right now and see the text message that they send and work out is that a bigger priority than what i'm working on right now if it is it will be put straight into the notion system and it will be assigned on the priority meter and so i completely like it can come across as rude i even know like a lot of my friends will look at me as being.
rude for like ignoring them for the time periods but i personally believe it's like just out of respect to yourself and if you ever want to achieve the things that you really want in life you need to. you need to just like budget your time you set out your time to get out the tasks that you really need to be done and then at the end of every week like i will basically go through every message and every whatsapp just to make sure that i didn't miss anything important i'll go back to anyone if.
if there is something important to go through and then also like slack to zero i'll go through all of my messages and yeah just uh just get that down to zero as well to make sure it doesn't doesn't build up too much i'll be completely honest it's not generally most things that people message you it doesn't matter if they wait for a few days next action is like review waiting on items we have a status it's called waiting which means we're waiting for it's now out of our control we've done as much action and activity on the task as we can and we're waiting on something to happen perhaps we need to reply to an email for us to be able to push this forward maybe we need approval on something maybe we need someone else to send us some document over and so it just keeps our system nice and clean because it's no longer in the action zone.
and this just makes sure that nothing gets left behind right any weight when items are in here. it means that i will the future waiting or on hold i'll just make sure there's nothing in here that actually i've missed out on so the system ensures that nothing is left behind. then as i mentioned as well we have all of our different projects and so i'll filter some of these out actually but. these are they can be anything from like ideas through to projects i'm actively working on.
and then the action items sit within each particular project so these are all like ideas i i have so i will go through my active. active project and just make sure that they are still active is there anything that i've got set down as next action that i should start working on i should move into active and basically this this doesn't take too long so i'm just making sure all of my projects are the status is correct it's just something i'm still working on is it something i'm still interested in yes keep it as it is no archive it i i won't delete it it will be archived because it will have a load of information attached to it maybe i want to reference to you in in the future then i have like some day this is so like this is one of my favorite stuff by the way i get so much value out of this clean mac downloads folder i don't know about other people but my like so in finder right on my actual back uh if you go into the downloads folder if you don't maintain it it just gets filled up with so much crap and it's so unorganized so every week i will go through it and i will completely clean out the downloads folder i will move it into my projects folders like the structure that i have in my on my actual mac on my hard drive i will move everything into project or i'll delete it everything needs to be sorted out so the downloads folder on my hard drive should be completely clear and it also makes it super easy to.
it's just so much more organized so much better way of working so i'll just take it off when it's done then my notes that i have that i've uh even taken down on sorry my notes within notion so. we'll go on to that database in a minute but that is a notes database i will tag them into. my different knowledge topics so let's say i've taken down some notes on psychology i will move them it has to be on manually i will move them into the correct topic that they're associated to i'll clean out my notes database.
next up and one of the other like really valuable things that again i just absolutely love is going through iphone photos and i'll be honest i haven't finished this in a whole year i spend about a couple of hours on every single not a couple of hours about an hour on every single weekend going through all of my photos categorizing them. and i don't mean you're not going through like your selfies or like your holiday pictures or whatever you're going through things that you found online articles instagram things screenshots of whatever it may be all of the photos and i'm pretty sure most people have like a database like a wealth of information in there in their photos things you've just completely forgotten about like quotes whatever it is pictures from books pictures from blogs youtube videos whatever it is but you have to screenshot it before i'll come back and check it out later and then just completely forgot about it i know that i have and i did it for like years so i'm in the process of going through categorizing all of my pictures bringing them into the notion system putting them into the correct knowledge topics.
to actually use that information so a lot of the quotes that you actually see around my notion database i hear complexity is the enemy of execution it will be a quote that i'd screenshot at some point i thought that's interesting i should apply that in my daily life but it was just sitting in my photos library it never got opened again now i just bring it in here and i literally see that every day so it's just a subtle reminder of something that i'm saying i want i want my mindset to be like that but it's no good if it's just sitting in your photos library so every single week go through all of the photos particularly like your latest ones another priority and then bring them all into your notion system and sort them out into the correct categories so they're in the right place so when you need to find them they're there.
and as i said they'll pop up automatically so if you're categorizing money like facebook ads psychology when you have a task that is linked to facebook ads again all the information including your pictures will pop up and it's accessible to you the next one is to check your iPhone notes for any important information i actually built an apple shortcuts if people are interested i'll make another video on this maybe i can even export it and give it away for free i build a shortcut that will go through all of my notes and it has some preset categories i've written in and it will automatically.
sort out my notes and actually bring them into the notion system notion has got a great api and it's an Integromat so you can you can do all of this stuff automatically and this is like a little shortcut that i built myself because. i take a lot of screenshots on my on my phone these are like the main categories so one of them was like apartment inspiration. one of them was would be notes so i would just go create a new note drag the screenshot over and then delete it from the phone.
and another one would be like a book or learning resource if i see a book or something i want to buy i can just put it straight in from my. from photos i'll just drag it over and then when that is all done that is the end of the weekly review. and we also have a monthly review a quarterly review and a yearly review so i'll go for all of them as i said this will be a long video so next up is active map so as you can see now again sorry these are all made automatically as well by Integromat I'll go through all the Integromat flows i have going around on this notion system these are all made automatically before i had to do it manually but you you want to think about it just outside as much as you can you want the system to be as automated as possible.
sorry another thing i completely forgot to mention which is really really cool you can do this both through apple shortcuts and you can also do this for instagram uh let me just explain how this actually works you can automate i have something so you. let's say i have a habit to go to the gym which i do actually have. as much as i haven't been going recently you can set it up in apple shortcuts that when you attend a particular location geofencing is what it's called when you are in a radius within a specific area so i can add an area around my gym that when i go to the gym it will send an api request to notion to mark my habit it's automatically done which i think is like you want to automate as much of this as possible so you don't have to maintain it to shooting as well i can add a geo fencing thing around like the gun range so when i visit the gun range automatically it will be ticked off.
some of the other habits i have as well charge watch uh that isn't automated to me actually but i'm pretty sure that could be automated my habits are sent through to this phone all the time so every task that i have to complete i don't know if this will show up very well but you can see this is coming through from integromat and it's showing you i need to do spanish i need 40 minutes exercise i need to do my mindset and affirmations 10 000 steps and rather than like if i'm out and about i can just click on this uh so let's be a bit cheeky and finish let's click on this one and if i click on it it will automatically move it over into you just saw that happen right AGS which stands for after gym shower which is a habit obviously i've gone to complete every single day it was accepted here and it was moved over automatically so even if i'm not sitting in front of my computer the whole time whenever i completely have it a lot of the habits are actually out and about.
i can automatically it will automatically be ticked off or another good example would be for the ten thousand steps challenge i can very easily automatically check how many steps have i done today or did i record a walking workout and automatically market my habit is done right if that makes sense so that's something i'm really quite focused on now is automating as much of the maintenance of the system as as possible yeah because the more accurate the system is just the better the system is for you.
now let's go to like the monthly review right we're in december another little quote here so here i will review all of the tasks that i completed this month uh i can also review my accomplishments and disappointment. and this is again another little workflow that i think you should do and this is for a staff review i mean like this only it will work best on like small teams but i have like an assistant who works with me like if you have multiple people who work with you write down how much they cost each staff member they should be doing one of two things for you so you're saving you time or making you money which one did they do what tasks did they complete how much value did they actually deliver for you is it worth the money this is just a constant something you should always be thinking about are you getting value from your staff right it's really basic but it's just a few like simple but powerful.
that's from an old one anyways breakthroughs this month discoveries this month. how can we improve what we do to make more money so what improvements can i work faster to make more calls don't use ranger and work what improvements can i implement to be able to be more efficient and the goal is make more money what's something that excites me what is something that stops me from hitting this goal remove whatever stops me from hitting my goals i'll go through this and i will also go through my these are like life pillars my overall life goals and like things that i have things that i want to achieve i'll just go over to make sure it's all still in line.
i will also go over my habits just to make sure that they are all still things that i want to complete that they're serving a goal outcome that i have. so that i'm not just mindlessly doing things so everything in the system has a purpose like when things change as well right something dynamic the system has to adapt as your goals change and so i would say occasionally i'm not like one or two my overall goals don't change that frequently that i'm constantly reviewing it but it's just i don't know what the word is uh garden keeping or something like that like i'm just just simply checking over and maintaining that the system is being efficient and all of my habits are things i still want to want to complete and then we have the monthly review.
sorry the subscription review so i will track down everything i'm currently paying for what all of the subscriptions i use. and do i need to cancel them when did i start them when are they set to renew the middle of the day and just to make sure that i'm in control of my. finances right every single month i now make it a goal of mine to not a goal of mine it's a requirement this is literally part of this to reset so this could be something from looking i don't know like day at the spa like for me and the girl that i'm seeing or to go away from like a weekend like whatever it is you you need to set aside a weekend if you can't afford to set aside your began with yourself then you you've got a problem somewhere you you need to set aside just a weekend just to recharge your batteries and also it gives me something motivating to complete this monthly tracking for because i know that i'll get a reward i review my goal outcomes so the things that i'm like these are basically my sort of higher level goals i'm looking to complete in in like a couple of months like usually i would assign them to a quarter so it's goals that will take about three months or so to complete.
and then the action items the smaller daily tasks they're all linked into these goals right so it's always like i said it's pushing forward your higher level uh goals in life so my goal outcomes are my sort of medium term goals that will take about three months to complete and then we also look to the pillars these are my sort of like overall goals. and the categories. so i will take those off once completed and once they're done and i'll go over my projects again i will give assigned goal outcomes to all of my projects of course the project has to be serving my purpose in life and if i can't find a goal that i have in my life that the project is linked to why am i doing it it's a waste of time and so again i'll go down here go for all the projects again and so this is actually in my opinion it's a little bit shorter than the.
than the weekly tracking it's more like you're working at a slightly higher level whereas the weekly tracking is just execution. of keeping everything checked this is more a lot more appearing than a few more things to just make sure that everything's everything's normal so here we have got quarters and we can like look at what is going on so that is where i will assign. uh what's working what's not working improvement ideas again just knocking out a list very very quickly uh outline combination companies were expected to hit eight percent growth per week on their metric.
i think i might move that out here actually that's like a very business focused. uh quote and actually when i started this notion system i was only using it for business i was only using it to manage my projects from startups and now it has evolved it has evolved way beyond that this is literally a life operating system every single thing that i do every activity that i do and every decision that i make not quite everyone but almost all of them this is like the operating system of my life it genuinely is.
like all of my workouts we logged in here. like literally everything so this is both personal and and business and maybe even now for me it is becoming more and more on the personal life management. anyway uh so a few quarters like are we on track for like the overall goal outcomes that we had. assign which quarter we want to achieve everything by. and review like the life goals so again this is just like we have the action items and the habits and routines are complete on a daily basis these have been linked into like the key results.
which have been linked into the overall goal outcomes which are really related to like my value goals so we have the things we complete on a day-to-day basis so a link to the things i want to complete their like three month goals that link to the things i want to complete this year or this quarter sorry this this year already this year which linked to my even bigger aspirations my life aspirations over the next five or ten years the things i absolutely want to achieve within my life so i hope that makes sense so we're making sure that everything is on track and essentially as long as you stick to the routine of completing the things you need to get done every single day your habits and routines as well as your daily tasks you should be on track to complete everything within the right quarter which will lead to you basically achieving everything that you want in life as long as you stay on track and.
ideas and everything down yeah recharge your batteries again because i've just burnt myself out so many times this is just something that i am i really put quite a lot of uh you can see it's like built in throughout the system make sure you recharge because it's something i constantly forget to do uh something maybe items these like project ideas i have. which yeah someday and maybe maybe i'll work on this but and like am i ready to change them into active is it something i'm interested to pursue now uh is basically how it works so that is the quarter quarterly review again this is actually really quite short just very high level oversight sort of management of keeping everything in check and then we have like the biggest one yeah alignment new year so here we have new year yeah so we have this is tracking the percentage of the time that i hit all these goals however i haven't linked in anything yet so that's why they're all at zero percent i'll do this at the end of the year which is coming up in about 20 days so here you can even see like some of my goals like following a keto diet waking up at 8 a.m taking my vitamins uh no masturbation daily sun these are all things that i'm like focused on that i believe deliver a better life to me i guess i'll go i'll go through all of it i'll share literally everything i may cut up this into like smaller videos because we're already recording for 49 minutes and i'm not even halfway through this then this video.
so what is the purpose of this let's just go over it the purpose of this is understand what i did well in the past year what are the things i was happy with what are the negatives and what what can i improve on right and this is what i meant about it being like such a personal. system and it's also why i suggest you don't actually share it with anyone because you need to be like ruthlessly honest with yourself on every single point here otherwise like you're just optimizing for the wrong things you need to literally step back and look at yourself and say what are the things that you didn't do well and what is it that you want to improve on so and but it's not all negative look what great decisions did i make and then you should analyze those how can i make more of those so we're looking at all of the stuff and like another thing is who did i spend the most time with and with whom the problem problems arise and that's something i think about all the time like you are a you want a mixture of the five people that you spend the most time with right so you should be so so.
ruthless on who you spend the most time with you know the saying is that if you spend your time with five millionaires you'll be the sick but it works together way as well right if you spend your time with five losers like guess who's going to be the next one and i've been there before as well i've hung around with guys who literally did all day when i was 15 16 all they did all day was smoke weed and guess what happened to me i ended up becoming a drug addict not not i'm blaming on them specifically if what i wanted like i've not wanted but what i thought was not cool either i didn't think it was such a bad thing because i was hanging around people like that so you need to be very careful about who it is that you spend your time with if you spend your time around entrepreneurs who are building businesses and launching like new innovative things all the time guess what you're going to do it really does it makes a huge difference to who you're around.
so yeah you should be analyzing who is it that you spend your time around who brings in positive influences into your life and who brings in the problems and cut them off or at the very least minimize the amount of time that you you them. and you can read these on your own these are just like some i guess like quite. deep questions a question just make you think and uh the reason for doing them is basically to design your. your life you design your next 12 months of what it is you want to achieve based on the things that you regret and the things that you want to change right so what are some new unfamiliar activities and experiences you want you're going to undertake this year what's going to make.
what am i going to make happen this year what is the one thing i'm going to make sure that i achieve this yeah what is standing between me and those outcomes. and all of these are getting put in putting into your your sister so these are all things as long as you stick to what you need to do every day you are. you'll achieve them you really well. yeah what would make this better i've actually got a load more questions as well i think our idea there was like an interesting app i found that had some uh let's call them thought provoking.
questions just on like analyzing your life and where you are and so on uh and then we also have we have past year gratitude you can write out there we also have reflection and insight so and again this can also go into like building out your next year to make sure it's again it's just all about building a system to have a state of constant improvement you constantly want to be learning from your mistakes and improving them. like the sas who the elite british army 100 one of the best in the world there's a famous guy called Ant Middleton i'm sure some people have heard of him he's got three books out his first ever book first man in is one of my favorite books on leadership and he i think it's an interview actually he said the only difference between them and any other military group is that every time they have an operation they write down what went wrong what didn't go well and how can they improve it and that is then documented and they've got i guess some type of library like knowledge fault which is exactly what we're building up here right we're analyzing the operations that we we've taken a part of to make sure that we can optimize for the next one like the mind can't can't retain everything it really can't.
and the other thing you'll find with this system is you're what i call free up a lot of cpu. like whenever you have a thought something that you need to do a note or something uh i have this system integrated everywhere you saw that i can run the shortcut here to take down a note i've also got it on like the apple watch i'm in the shower it's the time i often think of ideas i'll just note them down in the apple watch like it's got dictation so and it will automatically get it in i can also just click here there's a shortcut here to create a new task.
which will add something new into notion which means whenever i have a fork it's being added straight into the system which frees up my brain power. because i don't think i need to be remembering things all the time so anyway these are like some questions uh to go over that i'll go over at the end of the year and then you've got like the next 12 months design. then i need to review my overall life goals review habits and routines edit revise review like the key results and goal outcomes prioritize my projects making sure that they will contribute and help me achieve my goal outcomes and then prioritize and establish my action items my daily tasks i need to complete and then i also have like a bucket list it's it's actually like my reward system now where i put in everything i want to achieve in life.
not achieving but my just fun things to do like staying in like amazing hotels going traveling doing like this life bubbles like once in the lifetime opportunities they'll go into my rewards system and i can schedule them throughout the year for when i complete a specific project or task as a reward okay that is one part of the system now i guess what we can do is we can go into projects so these are some of my projects and i'll just go through and we'll make a new one just so you can see like the process i sort of go through let's call this test youtube project so i can assign this a priority let's say i know that this is linked to like facebook ads i can attach that and now all of my facebook knowledge is going to be there it's just going to be a click away i can link this to a goal so this can be to like finish my apartment.
and that means that the progress bar will go along whenever i complete the task here we haven't made any action items yet so that would appear here. i think we don't need to use that anymore i can delete that. i can take the priority of it is it a future task at a future project sorry is it it's called a flow priority uh i want to complete it by q4 uh is it linked to any of my habits. at the moment no and else you need do i want to link a reward to it when i finish this.
let's pick up related chili when we finish this project all right. yeah and now you can see it's all my knowledge topics are here so whenever i need some information on facebook and i can just click through here assuming this is something linked to facebook ads and then before i ever start a project uh i can write down let's because usually i'll just have it as an idea first i won't go straight into executing on a project i will write down a couple of notes and whatever maybe like some competitors that exist and so on just like drop down and nothing related to this and i'll also go through my startup questions this is a little playbook that i have made what's the purpose of this project how is this project different from anything that's currently available is there anything currently available are there any competitors have you actually researched into that.
and generally there always will be something available uh what obstacles will we face how will we overcome them why isn't someone doing this already is this actually a good idea are you open to changing the idea how will you acquire customers how much time will we put on to enter and list key ways that you will acquire customers how much time will i put onto this per week can i automate 100 in the business as i said that is what i'm mostly focused on right now i'm not interested in time-consuming businesses what's the plan to exit it's the plan to automate everything lay out the time frames i will literally write down every single task that needs to be done and have a plan on how quickly i can do this what's the overall goal of the project what will make this successful for me is it financial is it learning is it working with a specific group of people whatever it may be i'll write this all down who are the competitors in the space great thing to do and another thing that you should actually do in this is one of the most valuable things you can ever do in my opinion.
how much money can we make per year what's the potential of the business who are the competitors and then i would write down a list of influencers youtube channels blogs in the space so before you even start the project if you can't answer or like you're just not playing devil's advocate but you're making sure that this is actually a good idea and you're going a little bit deeper into the project this is forcing you to answer some just nothing very complicated but just good content questions about the business and these are tailored for me by the way you can edit and adjust them as you want maybe you want a very intensive business you want something you can work on full time so obviously you remove the order thing off but like you can obviously yeah tailor an adjustment you'll need.
the one that i just added with list influencers youtube channels blogs in the space that is one of the best things that you can do for anything any business at all is write down a list and you want to get 100 you want to have hundreds of resources of things in your niche people talking about things going on in the specific area of that business and what happens is when you launch this business you can just go reach out to all of them and if you're smart about it as well go and subscribe to all of them follow the influences engage with the stuff like it so that when the time comes you actually do go and reach out to them you say that i've been following you for months i literally like and engage with all of your content the influencer will go and they do you do this they will go and check and when they realize that you're a genuine fan and not just asking them to promote your business they're much more like it doesn't guarantee that they'll reply but obviously they're much more likely to engage with you and then this can like then we have like the action items let's make like task one task two and and these will automatically be linked to this project by the way.
and this is like the workspace for the project right so let's say like you've got a logo or something like you can add all of that here you can any i don't know maybe you want to embed your google analytics like that's one thing that i did on a different project i can show you so this one's no this one i've embedded like google search console so these are like resources i constantly go and check. oh my god this is this website's forty five thousand percent on traffic was very good.
yeah this is uh this is like something that's useful for this particular project so i can go and embed it you can literally embed anything here you can embed an airtable airtable have built that fantastic feature recently as well called. editable interfaces where it gives you like a high level overview like a summary of your database strongly recommend like using that and in fact on my wall i was going to start three big tvs and uh like what they called video wall or like the things that you think you zoom in airports and so on but they have like nine tvs together it looks very cool i was thinking to get something like that and have like the high level overview of all my different projects and airtable so you can see what is what is actually happening.
so this is just like an example of having all the things that you need for this project into one space right and if there's people collaborating on the project you can share this you can make it accessible to everyone in your team or whatever you want to do and this is quite interesting as well here this is the total number of tasks i have that's the number of completed ones that's the number i've got remaining so and i will also check what percentage of them are scheduled so that will tell me.
it's just if i have 100 of the tasks scheduled that's good it means i'm on schedule to complete the project right obviously yeah so that's how my project's working whenever i'm ticking off the tasks this percentage bar will go up so you can see what exactly i'm doing well and what i'm not and again this is just giving me a high level overview of. like youtube for example there's only four percent which tells me that i'm slacking with producing content next up let's go through let's go through the alignment zone so this is like this is an area of again this little high level.
high level overview some of them we've gone for already so i've got my milestones like small steps. like passive income and i have to solve my business and now i'm starting off on in fact i've already got about two thousand dollars of passive income uh we can take most of those off i've got i usually got a thousand dollars of passive income. so now i need to work on hitting these next tasks and i'll just go through here that is part of the review process that we looked at before every month so i'll take off the ones i've completed uh under accomplishments they're linked to our daily tracking disappointments as well life statistics this is like high level things that are it's just like a progress bar basically showing me that's not finished being integrated by the way which is why it's at zero percent so yeah look also i think this is an example of.
making a new task i can do action finish integrating love progress bar and let's say i want to set that task to be done next week active priority quick task done ended so that means next week that answer can pop up me and i'm going to know that i need to finish integrating this. progress bar uh pillars again we're looking at some higher level goals so healthy and happy confident have complete freedom in life 10 million net worth it's like a goal of mine uh own a mortgage free and fully renovated apartment the only reason for that is it means i'm so free to take higher risks in my life if the worst case scenario is i've paid off my mortgage in a cheap country anyway you'll need a few hundred dollars it basically means if i ever did lose everything.
that uh no i've always got something to pull back it's like the goal of it and i'll just quickly go into this as well this is gonna be on topic but i strongly suggest that everyone every single person should have a backup plan like just as an example i i don't call it like preparing for the apocalypse but just making sure you're prepared for any events that we've seen in the past two years some very simple things that you should do i'll have some money stored in a very easy way.
like have some cash a few thousand dollars just emergency cash that if if you have to flee the country for whatever reason like i live in eastern europe at the moment so i guess on slightly higher risk and there's a bit of tension with russia i have like a bag that is basically packed with two days of clothes warm clothes. i have a little crypto ledger which is like a usb device which you can store money on and it's very very secure which has like this let's call it reserve money on there so it's not just for that it's also just like my general life there's about twenty thousand dollars on that.
which is just held in like the size of the usb which is just great and you can cross over borders with it and everyone's just going to think it's a usb clothes in the emergency bag and also in the apartment uh i've got two weeks i think maybe more actually emergency supply of water a bottled drinking water. i've also ordered a solar rechargeable emergency power bank and this is like 2 000 mwh i think it was milliwatt i'm not sure what the exact measurement is but you can charge an electric car for this thing that will drive for 20 minutes.
and it also comes with like solar solar panels i've actually worked with solar panels before on a campervan conversion that i did. so you're just ensuring that if something ever does go wrong that you're like safe and also the other thing i bought is fuel it's a. everyone doesn't know it's like a grounded rounded food it's. it is sort of like protein shakes but it's made from real foods and ingredients it's vegan friendly and you can literally mix it up you put a flavor in it they've got savory flavors as well so you can make like a what it was tomato and herb pasta flavor and you can eat it and it's got all the nutritional value of like a normal meal and you can store it for years so you should combine yourself like some dried pasta as well and whatever it does have like emergency emergency storage.
let's call it so if ever you are caught in and also i would buy level four gowns and not the type of crappy face masks that we walk around like a gas mask. just you never know what's going to happen i think the past two years if they haven't brought that to our attention at all then what have they done. we should always be learning exactly what the system is about from past experiences and i personally think it hasn't been that bad and it could be much worse and in future we could expect something which was 10 years 20 years down the line who knows what's going to happen and these are things that are very easy to prepare for it's going to cost you a few thousand dollars to almost ensure your your life.
if something does happen you're going to be in a much much stronger position than this is linked up like the pillars are supported by habits and routines as well as action items goal outcomes goal steps uh these we've gone over before as well projects habits routines so yeah this is sort of like a high level overview i i don't actually come in here too often to be honest i generally do all of that through the monthly and quarterly. tracking then here we've got like a subscription database this is tracking everything i spend money on how much it is and what i should cancel.
if i need to cancel it am i still using it and so on it just means you're not caught out of any subscriptions also every month i will go through my transactions on my banking just to make sure that there's not any like unexpected charges or whatever it's just just a good habit rewards playbooks these are [Music] these are some things i stole of tim ferriss actually and they're just like sort of uh thinking processes i guess and i do add new ones every now and then when i find something interesting write down the worst thing that can happen with a specific problem that you have what can i do to prevent it happening so what can i do to minimize the risk and the event it does happen what can i do to prepare the situation what might be the benefits of attempting anyway what's the cost of inaction what will happen if i don't do this because there is often a negative cost of inaction as well what would it be in six months one year five years and it's just a way i guess it's outlining going through problems and i do also add in new templates every whenever i find something new i want something new people database i won't go into but i'll tell you what it is i recently completed i also can't get into too much information on this either uh because i did find an NDA but let's like it was a this was a course run by like a special ops x with spy basically uh and not the highest looking to get into that it's more it's my own personal protection actually.
i don't know if people have seen but there's sort of. a lot of stories going on there was a guy who owned a social media company in barcelona and he was broken into in his own house and i'm pretty sure he was tortured if he wasn't there was definitely someone else in the news who was captured and tortured and there was a story about them putting like a drill through his hand or something and this is over crypto it will be like organized crime breaking into people's houses to get him to hand over his crypto.
so that was why i actually signed up for the course and it was on operational security so it's on your own security it's really really interesting again i can't go into i don't want it to sound like it's a teaser or something but i signed an NDA and these are definitely not the type of people that you want to be on the wrong side of but it's essentially like pieces on getting information out of people and these are it's really interesting these are tasks that you execute to understand when someone is trying to do it to you right you need to have a basic understanding of it yourself when you're doing it to someone else to understand if someone trying to gather information out of you so there was like eight different modules to it there's surveillance modules there's counter surveillance so one of them is that you actually go and follow someone i did this both in the car and also on foot for an hour and people are so so oblivious this is one thing that you actually realize is how situationally unaware most people are they're just absolutely asleep what daughter living through life not prepared for anything coming at them.
and yeah and then there was also like some interesting things on like surveillance and anyway. this is something that was recommended by the person who was running the course so he has he has like in the business world as well let's say. and he recommended keeping tabs on every single person around you uh and this is also a lesson i learned from a book just because you're close with someone now don't expect your interests to always be aligned and don't expect don't ever do something with someone expecting you to always have the same goals and i've just gone through this with like a co-founder in fact where we just wanted like different things out of the you this is a people database it is on all of the people around me particularly within like business where you you keep tabs on them and especially when they do something wrong when they when they make make a mistake or like up on something block it so that you remember it and it's not something that you ever use to like rub in your face it's more to keep everyone within their place that if someone ever tries to come at you with with something you have a way to like counter it so.
let's if someone is trying to do something and i've had this as well with like employees as well. so anyone who's at like a medium to high level within the business like within management and so on keep that high so just keeping the tab on them logging down like any any like mistakes that they made particularly if it's something like illegal and you gather like some intelligence from them lock it down and you don't tell them about it like it's most hopefully all the information there never has to be used it's a case of if someone comes up with you comes at you with something or is trying to undermine you or put you in a difficult position you can just give them a nice phone call and just say i don't think you want to do that because otherwise next one said.
and and of course that you log in and keep the evidence there. and of course if you're smart you make backup time as well but it's very easy to do with the. with the notion api so that is just it's almost like an insurance policy particularly when you're like working in groups of people and particularly in the high experiences when like you're younger. some people might like want to try and take advantage of you particularly if they're like older than you and they're working for you it can be a bit of a funny dynamic for people so it's just something i recommend doing.
as i said i won't go into everything that's going to be that personal and yeah but it's just almost like an insurance policy of making sure that you keep the people around you in check whenever you if you if you ever have to if there's a situation where they step out of line and think that they can uh whatever trying to get you to do something or undermine you in some way you have leverage over them which is one thing that i learned in this course is it's great to have.
and you should be very careful about the information you share with people. that's that's like for another video. again i won't go into details about it but i do highly recommend the course if anyone does let's find it it was really really good and then here are these just shortcuts for me to make new action items and notes uh this is these are like pipelines i made on addiction so it's like an addiction calendar so if you're trying to overcome an addiction these are like specific action item pages that are linked to like for example youtube content pipeline is something like building here i've got the ideas active pipeline backlog and i still need to work on this a little bit it's not finished but.
these are like if you have very like intense projects that will need their own production pipeline that's what they're for now and so this is like the command center this is what i call it this is actually a picture of me on the top of a uh it's not showing right now that's me up there uh on the top of a big mountain in norway and this is just like a little motivational reminder snap out a bit you'll love to take over whenever i'm procrastinating not working productively feeling down whatever it may be it's just telling me to get back in the zone uh let me go into let me see that back into like this is.
this is the second place i'll spend most of my time and it's actually where i used to do all of the execution on my tasks uh here we've just got a few little quotes the essence of strategy is choosing what not to do well most people think of it like that they will take strategies about choosing what you will do really it's about deleting strategy here like going through and deleting things that aren't essential is one of the most productive and powerful strategies i can have it just frees up my time to make sure i work on important things and this is a quote from Guy Ritchie uh talking about gentlemen it's elegant under pressure someone who's not afraid to venture into choppy and challenging waters and find his way through as elegantly as he can very beautiful quote that i like really liked it was when Guy Ritchie the famous director he was asked what his.
opinion of a gentleman is and so it's someone who's happy to like take on the challenge and he will encounter problems along the way but a gentleman will find his way through as elegantly as he can and then the first thing is active speed actual speed if you're not moving quickly you're just going to get left behind especially in the way that the world moves at the moment uh this is today's focus this is my action item database but now i'm mainly working on it through the daily tracking these are my active projects i'm working on here's quick shortcut for me to take down some notes and these just essentially a load of databases for tasks i'm waiting on low priority tasks tasks without a project uh tasks for freelancers things that i need to outsource things not to do as much as a to-do list is important and not to do this can be equally as important and this allows me to schedule the calendar so i can actually just drag and drop and schedule my tasks in here under the action item and then they'll pop up on the day that it's supposed to come up yeah this is like really just like an execution zone i'll spend most of time up here under today's focus but like i said most time i'm working from daily tracking anyway working on getting habits out of the way and getting the tasks done here so these are this has now evolved into being the places i spend the most time and god mode is less used much less than it was before uh so we can head back to the command center here.
next up i can show you the knowledge vault so these are all of my effects these are all of my notes i've like taken down these these have come from like the iphones these have come from my iphone sorry uh there's going to be hundreds of them here so i need to go for an explorer all of them uh media vault this is where i store all the books that i have that i need to buy. anything like that so i think one of them will actually be books i have before i should rename these views and it can also be videos and blogs and so on by the way so if it says reading if i've read it obviously if it's on the bookshelf it means that it's out in my little library out in the main living area but i haven't haven't read it yet so i've got 219 books on the bookshelf and i need to buy about 500 more and if we go into them you'll see some i will with each book that i have and i was actually thinking to start doing a youtube series on this just going through my notes i took on each book like short summaries this is my favorite book ever getting real i spoke about it.
and these are just like my main notes so whenever i think like i don't know i'll just come through and like read over this occasionally they're like my most important things and the ones that are really important i will put in as a note and i will add them into a specific category which you can find down here so if for example from a book i'm taking notes on productivity or discipline i will drag it down and it will be in here so it's accessible so yeah let me just explain a little bit better whenever i read a book i will write down all of the notes in here and i will add them under notes and ideas and then every week i will go through and i will categorize them into the category so that will bring in all of my notes from all of the different books that i've read on whatever it may be on psychology every different book i've ever read on psychology all the notes will be brought in together into this specific like database like this is my database on psychology these are all subjects i'm interested so operational security as i said i was looking at personal finance spanish russian investing pc i'm interested in specific marketing funnels sex i recommend everyone actually if you've never uh there's just so much great education on sex i don't mean looking at porn there's probably the worst one that's difficult there's some really interesting things and like if you can understand a woman's body better than she can uh i think it'll get you a long way let's just topic that all guys should do some at least basic like research on yeah and there's loads of different different subjects i'm interested in i'm constantly adding new information to some end up like dying out like you can see uh personal development i haven't updated in quite a while.
but yeah that just happens and then they split into hot topics and cold topics and these are the resources for this is a list of things i've come across like various different tools things i find interesting software products code. whatever it may be that i can use throughout my day-to-day workflows. essentially yeah and i think that is like pretty much most of it i hope that it did make sense for the most part it's quite a complicated system. but again it's not really it's it's just about five core databases projects database daily action daily tracking action items database and then my knowledge topics and notes which all communicate with each other and integrate in very seamlessly really really seamlessly and they all complement each other.
i honestly the reason i've spent an hour and a half sitting here making this video is because i cannot recommend this system enough it's definitely changed my life in terms of productivity in terms of approaching things in terms of cutting out things i waste time on and i think that everyone should use a system a system like this it doesn't have to be this system notion is a great way to build this but maybe there are a few other ways that you could build it but i would suggest you on notion of course you could build this yourself with code but you will be here a while airtable i love as much as always it's just not got the flexibility notion is just literally built for this it's exactly what notion is designed for building dashboards out like this.
but i still use anything every single day because i don't like notion as much for sort of large scale databases and data management. and that's the other thing to say by the way is that every single database here can be downloaded as a csv if you wanted to go more in-depth for data analysis not something that i do but it's nice to know that it's there as an option. yeah other than that like it's really great to get back into making like the youtube videos and pushing our content.
i've actually just bought final cut pro for the first time ever and just to like of course i'm using this new m1 max and like i'm not really up for downloading any torrented black software on here especially as like now i'm getting more involved into crypto and various other things like i'm much more protective over what i actually allow onto my onto my laptop whereas before i'd be downloading movies and everything else i'm not even thinking about it but nowadays i i'm very very careful so yeah i just bought final cut pro so i'll have some fun editing this blurring out any like really personal information things that i i don't want to share.
other than that if there are any questions but i know that the other thing that people will be asking is like do i want to sell this system and i don't think you'll get the value out of it if i just sell it to you and you're looking at it and don't really understand what's happening. so no i i wouldn't sell it more for your own personal benefit rather than mine so it'd be quite easy to do okay try building it yourself is what i recommend to everyone that is how i built this system to start with i literally built it from scratch pausing on other people's systems taking what i like changing things i didn't like improving things i would start off like that and if you have some specific questions of course leave a comment if you need like some consulting i will be open to doing consulting you can look it in in the description i will do consulting on most things by the way as well if it's integrated and so on particularly if it's an interesting automation yeah as always leave leave any questions in the comments have a go at building it yourself just remember essentially all you're doing is building out different databases and connecting them to each other is how the system works yeah that's fine from that thank you so much for watching.
